SoftSquare Marketing is a digital brand studio based in Stellenbosch, Western Cape, South Africa. We provide logo design, website design, social media setup and management services to South African businesses.

2. What Information We Collect

When you complete our brand brief form or contact us, we may collect:

• Your full name
• Your email address
• Your phone or WhatsApp number
• Your business name, industry and description
• Your brand preferences (colour palette, logo style, target market)

We do not collect sensitive personal information as defined under POPIA (such as race, religion, health information or financial records) through this website.

3. Why We Collect Your Information

Your personal information is collected solely for the following purposes:

• To respond to your brand brief enquiry
• To provide you with a quote or proposal for our services
• To deliver the services you have requested
• To communicate with you about your order or project

We will not use your information for any purpose beyond what you have consented to.

4. How We Use Your Information

When you submit the brand brief form, your information is sent directly to our WhatsApp number and email address. It is not stored in a third-party database or CRM system. We use it only to follow up on your enquiry and, if you proceed, to deliver your brand assets.

If you become a paying client, we retain your contact details for billing, delivery and project communication purposes only.

5. Who We Share Your Information With

We do not sell, rent or share your personal information with third parties for marketing purposes. Your information may only be shared in the following limited circumstances:

• With WhatsApp (Meta) as the communication platform used to receive your enquiry — subject to WhatsApp's own Privacy Policy
• If required by law or a South African court order

6. How We Protect Your Information

We take reasonable technical and organisational precautions to protect your personal information. Your enquiry data is transmitted directly to our private WhatsApp and email — it is not stored on a public-facing server or in an unsecured database.

7. How Long We Keep Your Information

We retain enquiry data only for as long as necessary to respond to your request and, where applicable, to complete and document the services provided. If you do not proceed with our services, your enquiry data is not retained beyond 6 months.

8. Your Rights Under POPIA

As a data subject, you have the right to:

• Access — request a copy of the personal information we hold about you
• Correction — request that we correct inaccurate information
• Deletion — request that we delete your personal information
• Objection — object to the processing of your personal information
• Withdraw consent — withdraw your consent at any time without penalty

9. Cookies

This website does not use tracking cookies or third-party analytics tools. Google Fonts are loaded from Google's servers, which may result in your IP address being logged by Google in accordance with their own privacy policy.

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated date. We encourage you to review it periodically.
